Job Overview
Gem State Staffing in Pocatello, are seeking a detail-oriented Administrative Project Coordinator to support a short-term HR initiative at a large manufacturing facility. This role is ideal for someone who enjoys working independently, managing data accurately, and contributing to structured projects with clear deliverables.
The position will focus on digitizing personnel files and organizing job descriptions, requiring strong attention to detail, Excel proficiency, and comfort working with both paper and electronic records.
Key Responsibilities
· Scan paper personnel files into PDF format with accuracy and consistency
· Electronically file documents in multiple systems, including an HR platform and internal server folders
· Track and report daily progress of scanned files using Excel
· Locate, organize, and catalog job descriptions from both paper and electronic sources
· Update job descriptions to align with current collective bargaining agreement language
· Create and maintain a centralized job description library for the site
· Provide regular progress updates and basic reporting to stakeholders
· Collaborate with HR team members as needed while managing assigned tasks independently
Required Skills & Qualifications
· Strong administrative and data management experience
· Intermediate Excel skills, including pivot tables and formulas
· High level of accuracy and attention to detail
· Ability to manage confidential information professionally
· Comfortable working independently on structured projects
· Strong organizational and document management skills
Physical & Work Environment Requirements
· Ability to repetitively remove and re-file documents from filing cabinets
· Ability to sit, stand, and walk throughout the workday
· Onsite presence required (position is not remote due to physical document handling)
Preferred Experience
· Prior HR, records management, or administrative project experience
· Experience working with HR systems or employee files
· Familiarity with document scanning and digital filing best practices
