Job Description

Gem State Staffing-Caldwell is a dynamic organization committed to delivering exceptional staffing solutions to meet the needs of our clients. We are seeking a highly organized and proactive Staffing Coordinator to join our team and support our staffing office operations.

Position Summary

The Staffing Coordinator will be responsible for managing the recruitment, placement, and administrative functions of our staffing office. This role requires a blend of human resources expertise, administrative proficiency, and strong interviewing skills to ensure the successful sourcing and placement of top talent. The ideal candidate will thrive in a fast-paced environment, possess excellent communication skills, and demonstrate a keen attention to detail.

Key Responsibilities

  • Recruitment and Placement:
    • Source, screen, and interview candidates to identify qualified individuals for open positions.
    • Coordinate and schedule interviews between candidates and clients.
    • Maintain an active pipeline of candidates through job postings, networking, and outreach.
    • Collaborate with clients to understand their staffing needs and ensure timely placement of candidates.
  • Administrative Duties:
    • Manage employee records, including onboarding documentation, contracts, and compliance forms.
    • Process payroll, timesheets, and other administrative tasks related to staffing.
    • Maintain accurate and up-to-date records in the applicant tracking system (ATS) and other HR databases.
    • Prepare reports on staffing metrics, such as time-to-fill, candidate retention, and client satisfaction.
  • HR Support:
    • Assist with onboarding new hires, including orientation and training coordination.
    • Ensure compliance with federal, state, and local employment regulations.
    • Address employee inquiries regarding policies, procedures, and benefits.
  • Client and Candidate Relations:
    • Build and maintain strong relationships with clients and candidates to ensure a positive experience.
    • Act as the primary point of contact for staffing-related inquiries and issue resolution.
  • Other Duties:
    • Support the staffing office with additional administrative tasks as needed, including scheduling, correspondence, and event coordination.

Contribute to process improvements to enhance efficiency and effectiveness in staffing operations

Job Requirements

Qualifications

  • Experience:
    • 2+ years of experience in human resources, recruitment, or staffing coordination.
    • Proven experience conducting interviews and assessing candidate qualifications.
    • Strong administrative experience, including proficiency with HRIS/ATS systems, payroll, and record-keeping.
  • Skills:
    • Exceptional organizational and multitasking abilities.
    • Excellent verbal and written communication skills.
    • Strong interpersonal skills with the ability to build relationships with clients and candidates.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with applicant tracking systems.
    • Ability to work independently and as part of a team in a fast-paced environment.
  • Preferred Qualifications:
    • Experience in a staffing agency or high-volume recruitment environment.
    • Knowledge of employment laws and regulations.
    • Bilingual English/Spanish

Work Environment

  • Full-time position, Monday through Friday, with occasional evening or weekend work to meet client needs.
  • Office-based role.

We only had 3 branches at that time!  Over the years, I've managed Boise, Twin Falls-Burley, and back to Boise again. I was promoted to COO/District Manager for Idaho and our single location in Salt Lake City, and operated in that capacity for 8 years. We opened several new locations under my direction and increased our geographic footprint to cover all of Southern Idaho. Many of the employees currently employed by Gem State Staffing were hired and trained by me, a feat I am very proud of.

In early 2020 the ownership for Gem State Staffing offered me an opportunity to buy the Caldwell branch and operate the location under a franchise-like agreement. I'm happy to report that in January 2024, I completed my purchase of Gem State Staffing-Caldwell.
